Price

Initial letting fee: 50% of the agreed rental figure + VAT (Deductible from the first months rent upon move in)

Management fee: 10% of the monthly rent + VAT. 

(VAT at the current rate of 20%)

Property valuation

An agent will visit the property to assess and advise on the potential rental value. A valuation appointment usually takes around 45-60 minutes in total. Following the visit we will send you written confirmation of our recommended rental value and our fees for letting your property.

We strongly believe that a great set of property photographs are one of the key aspects in achieving a speedy let at the highest possible rental. Once the property is ready to be marketed we will arrange for your property to be professionally photographed in wide angle.

We will digitally measure every key room and space in your property using a laser measure. Where applicable (larger properties) we will also provide floor plans using Room Scan on our smart devices. Room layout, features and measurements will all be available to view.

Exposure is everything! With Millbrooke your property will receive exposure on the leading UK property portals including Rightmove, Zoopla and Prime Location. We are also interlinked with numerous associated websites as well as sponsored google links, Email marketing campaigns, Local printed media and our office displays.

Accompanied viewings

All viewings are carried out on an individual basis and accompanied by a member of our knowledgeable team. Our representative will arrive at the property ahead of the viewing to ensure the lights are on and the property is presentable. Of course, we will be armed with all the information we need to sell your property to the prospective tenants.


Legal Compliance (fees apply)

Upon instructing Millbrooke we will advise you on all aspects of Legal Compliance in relation to residential lettings. This will include gas safety, electrical safety, smoke and carbon monoxide alarms, legionella risk assessment and non-resident landlords. NB: Not all of the above are a legal requirement or mandatory.


Insurance Advice

Millbrooke will advise you on your obligations as a landlord in respect of both Buildings Insurance and Contents Insurance (where applicable). We will also provide details or affiliated companies who we have tried & tested and would recommend.


Comprehensive tenant referencing

Every tenant will be professionally referenced via UKtenantdata. The referencing process includes checks on the applicants credit history, previous addresses, bank accounts, immigration status, employment status, current accommodation and next of kin details.


Tenancy Documentation

Once the applicant(s) have passed referencing we will draw up a comprehensive tenancy agreement. The agreements are generally for an initial fixed term of 6 or 12 months depending on your requirements.

Digital & Photographic Inventory

Prior to the commencement of the tenancy one of our inventory clerks will visit the property to compile the report. The inventory is produced using an iPad app and is a comprehensive and detailed report of the building fabrics by room including any furnishings. It covers, style, colour, condition and any defects. Photographs are also taken of the whole property in high resolution as additional evidence.


Move in & Handover

On the day of the move in the tenant(s) will come to our office and sign the tenancy paperwork, pay the first months rent and deposit balance (usually by card) and collect the keys. We also offer a remote move in facility where documentation can be electronically signed.


REGISTRATION OF TENANCY DEPOSIT

Following completion of the move in Millbrooke will register the tenancy deposit with the Deposit Protection Service (DPS) within 30 days. The funds will be held by the DPS for the duration of the tenancy and a deduction applied for after the tenancy if required.


RENT COLLECTION & ACCOUNTS

The rent will be collected from the tenant via standing order. Once receipted Millbrooke will process and forward to the landlord via BACS transfer within 2 working days of receipt. A statement will also be sent to you showing the rent collected and any invoices deducted.

Transfer of utility accounts

Once the move in is completed our agents will process the transfer of the utility accounts into the tenant(s) names. This process is completed via Tenant Shop typically 24 hours after the move in. Utility changeovers include gas, electricity, water and council tax.


annual property review

Every 12 months a member of our accounts team will carry out a full audit of your property in respect of local rental values. This includes obtaining comparable data for the area from online sources and advising on rent increases where necessary.

TENANCY Renewals (fees apply)

Around 80 days prior to the end of the fixed term tenancy agreement our management team will contact the tenant(s) to see if they wish to renew their tenancy agreement. Once we have spoken with the tenants we will discuss with the landlord(s) as required.

Here at Millbrooke we have a fantastic and efficient maintenance reporting system. Every tenant has access to a live dashboard for reporting. When a tenant logs an issue it will drop straight into our system so we can get straight onto the matter. Landlords are informed throughout the process and kept up to speed.

Periodically a member of our management team will visit the property to carry out a thorough and detailed inspection. Reports are produced using an iPad in PDF format including feedback, standard checks and photographs (where necessary). A copy of the report is then forwarded to you via email with next steps to be addressed.


TENANT CHECKOUT & DISPUTE RESOLUTION

Once the tenant(s) has vacated the property at the end of the tenancy Millbrooke will visit and carry out the move out inspection. This involves checking the inventory in reverse and noting any unreasonable wear/tear if present or cleaning issues. We also take closing meter readings for gas/electricity and water (where possible).


Rental Guarantee Insurance (FEES APPLy)

Legal Expenses and Rental Guarantee insurance is available as an add on to all our lettings. It's perfect for added peace of mind that should the worst happen you are covered. Policies are available for both 6 and 12 month tenancies with or without excess.
